7. Nex AI Chat Assistant
Our website features an AI chat assistant called Nex, powered by Google Gemini.
- When you chat with Nex, your messages, the page you are on, and basic session metadata (browser type, referral source, page URL) are collected
- Conversations are stored in our database and linked to a conversation ID. They are not linked to your personal identity unless you provide personal details within the chat
- Nex may suggest booking a discovery call and provide links to our contact page
- Chat conversations are retained for service improvement and may be reviewed by Nexron Solutions staff
- Nex provides general information about our services and does not provide legal, financial, or professional advice
8. Uploaded Images (Vision)
- When you use Nexron Vision, your uploaded vehicle images are sent to Google Gemini AI for processing to generate a composite visualization
- We do not permanently store your uploaded images on our servers after the visualization is generated. The generated composite images are returned directly to your browser
- Product images (e.g., wheel images) displayed in the Vision tool are sourced from third-party catalogues and are fetched server-side during the generation process
- Your use of the Vision tool is subject to rate limits and usage caps. Usage is tracked via session identifiers stored in your browser's local storage
9. Automated Email Communications
- After interacting with our lead capture tools (Vision, Growth Engine, contact form), you may receive a series of automated follow-up emails (typically 3-4 emails over 7-10 days)
- These emails contain tracking pixels (1x1 transparent images) that notify us when an email is opened. Each email includes a disclosure notice about this tracking

- You can unsubscribe from these emails at any time using the link at the bottom of each email. Unsubscribe requests are processed immediately

- Dashboard analytics data (lead counts, product trends, ad performance, outreach metrics) is derived from your service usage and is accessible only to you and Nexron Solutions administrators

- Personalized demos at demo.nexronsolutions.com track page views, product interactions, and AI generation usage
- This tracking is linked to a session identifier and the demo token, not to any personal information
- Demo analytics are visible to Nexron Solutions administrators to measure engagement
- Logos and branding assets uploaded for demo configuration are stored in Cloudflare R2 cloud storage

AI-generated visualizations are approximate previews and actual product appearance may differ. We recommend consulting with appropriate professionals for specific business decisions.
15. Data Retention
We retain personal data according to the following periods, which are enforced by automated deletion:
- Contact form submissions: Automatically deleted after 2 years
- Lead data (Growth Engine and Vision): Automatically deleted after 3 years
- Chat conversations with Nex: Automatically deleted after 90 days
- Automated email tracking data: Completed outreach emails (including open and click records) are automatically deleted after 6 months
- Calendar booking rate-limit data: Automatically deleted after 30 days
- Account and dashboard data: Retained for as long as your account remains active or until you request deletion
- Demo analytics data: Retained for 6 months after demo expiry
- Payment records: Retained for 7 years in accordance with New Zealand tax obligations
- Unsubscribe records: Retained indefinitely to honour your opt-out preference
- Uploaded images (Vision): Not permanently stored after generation is complete
When you request data removal, we permanently delete your personal information within 20 working days (as required by the New Zealand Privacy Act 2020), except where retention is required by law (e.g., payment records for tax compliance) or to honour your preferences (e.g., unsubscribe records).
